Coaches' Info Sheet
v Season Schedule
o Season starts U6-U14 ~ weekend of September 7th
o Season ends U6-U14 ~ weekend of November 9th
o Season starts High School Age ~ September 16th, ends November 10th, no games Columbus Day Weekend
o No U6-U8 games Columbus Day Weekend
v Coaches’ Meeting
o August 28th at Curtis Middle School ~ 7:00 for ALL age groups
o Weather permitting, all fields will open for practices on September 2nd
v Cutting Pre-Season
o We have space allotted at Cutting for preseason practices for U9-U14 players beginning on August 24th. Current schedule is attached. If you can use one of the blank spots, let Sandy know.
v CORI Background Checks
o All coaches, assistant coaches, managers, and board members must have a current background check on file with MYSA. Coaches without a completed background check will not be allowed to coach!
o If you are unsure of your CORI status, click here . Scroll to Sudbury Youth Soccer and then your name. If your background check is due to expire during the upcoming season, please submit a new form by clicking here . Make sure to enter the club’s full name, Sudbury Youth Soccer and not SYSA.
o ID Confirmation
§ A certified CORI Submitter must check government issued IDs from ALL adult affiliates. Our Submitter, Sandy Moore, will be available from 6:30-6:45 before the Coaches’ Meeting on August 28th, and at Equipment Distribution on August 24th from 10:00-12:00. You must provide a copy of the ID on an 8½” x 11” piece of paper. If this is done by email, send it to firstname.lastname@example.org  and title as (Your Name) ID.
v Concussion Screening
o All BAYS coaches are required to complete Concussion Training before the season begins. The video, which can be viewed at home at your convenience, is available at one of these links,
§ National Federation of State High School Associations (NFHS). For the NFHS video “Concussions in Sports”, http://www.nfhslearn.com/electiveDetail.aspx?courseID=15000 . This is the preferred version of the SYSA Administrator OR
§ Centers for Disease Control and Prevention (CDC). For the CDC video, http://www.cdc.gov/concussion/HeadsUp/Training/index.html .
§ Once completed, send a copy of the certificate to email@example.com . Include your name in the subject line.
v Group Nights
o The master practice schedule is attached. Field numbers will be assigned when Park and Rec completes the layout.
o Practices and Group Nights begin the week of September 2nd. There will be no sessions on September 2nd, Labor Day.
§ Coaches will be sent via email an official BAYS’ roster. It should be proofread to assure that ALL information is correct, ie coaches’ info, division, section, player info. The roster requires the coaches’ signature, and the preprinted registrar’s name. It does NOT require the registrar’s signature.
§ Coaches cannot make changes to the official roster except to add jersey numbers. All other changes must be made by the registrar.
§ To change the team name contact Sandy at firstname.lastname@example.org.
o U6, U7, U8 and U9/U10 Sudbury Soccer League
§ Coaches will receive player contact information via email.
o All U9-U18 BAYS’ coaches, and assistant coaches must have passcards. If you have a card from a previous season, it needs a new 2013-2014 validation sticker for the fall. Passcards may be left in the box on Sandy’s front steps at 90 Winsor Road. Coaches will be notified by email when the passcard is validated and ready to pick up.
o Coaches needing a new passcard should send a passport size color photo as an attachment to Sandy at email@example.com  or leave the picture in the box on her front steps at 90 Winsor Road. Photos must be full faced, straight on shots; no hats or sunglasses. Include your name, address, phone number, email address, and date of birth. Coaches will be notified by email when the passcard is validated and ready to pick up.
o Passcards can also be left for processing at the Coaches’ Meeting on August 28th.
o In Town coaches (U6, U7, U8, SSL) do not need passcards.
o Player passcards are not required for the fall
o IMPORTANT: If sent by email, photos should be sent as an attachment and titled with the coach’s name.
v Medical Releases
o ALL coaches (U6-U18) must have medical releases for each of their players in their possession at all practices and games. The releases will be emailed from Sandy prior to the beginning of the season. Please check the forms to verify that everyone is included.
o Pick up: Saturday, August 24th, from 9-12 at the equipment locker at Haskell Field. This is for existing coaches to restock their supplies and/or for new coaches to get gear bags.
o If you are not coaching this Fall, please return any and all SYSA gear. Bags can be dropped off on the 24th at the locker or anytime at Chris McClure's house at 35 Pennymeadow Road. Just leave the bag with your name on it on the front porch.
o If you are holding pre-season practices and need equipment before August 24th, please email Chris at firstname.lastname@example.org .
o If you cannot make Saturday, but need gear, please email Chris as well. Arrangements can be made to pick up gear early from him directly.
v Field Closures
o Sudbury Soccer uses RainedOut as a means of notifying coaches and families of field closures. RainedOut is a free SMS messaging service that will send a text message and/or email in the case of field closures. There is no sign-up fee, but standard text messaging rates apply. Join Sudbury Youth Soccer text alerts on RainedOut .com. This is in addition to the field status box on our website.
